Terms of service

The contract between you and Accepted Translations, in plain English. Last updated 4 August 2026.

Who you are contracting with

Accepted Translations is a sole trader based in London, United Kingdom. We are not a limited company and not a government body. You can reach us at hello@acceptedtranslations.com and a person answers.

We provide certified Spanish-to-English translations signed by a translator on the CIOL or ITI register. The UK has no state sworn-translator system, so no one can certify on behalf of the UK Government — including us.

How the contract is formed

You upload your document, tell us who is receiving it, and pay through our checkout. The contract starts when your payment is confirmed and we send the order confirmation email. Until then nothing is owed either way.

Notarisation, apostille and long financial documents are quote-first: we agree a price with you in writing before any work or payment.

Price and payment

Translation is priced by page: £34.95 for the first page and £28.00 for each additional page. No VAT to add — we trade below the VAT registration threshold. Add-ons (hard copy, extra copies, international post, same-day priority) are shown with their price before you pay.

Payments are taken by Stripe. We never see or store your full card details.

Turnaround and delivery

Standard turnaround is by the end of the next working day for documents up to six pages. Longer documents get a confirmed date before payment. Same-day priority is available for an extra fee where we accept the order before the cut-off shown at checkout.

Delivery is a certified PDF by email. Paper copies are posted only if you buy that add-on, and postal transit times are outside our control.

What we need from you

You confirm the document you send is genuine, complete and yours to translate, and that every page is legible. We translate what is on the page.

A change request that would make the translation no longer match the original — a different spelling of a name, an altered date or an altered title — is declined, and that is not grounds for a refund.

Naming the institution that will receive the translation is required before payment. It decides how we format the certificate and it is what the acceptance guarantee is measured against.

Cancellation and the 14-day right

You have 14 days from the day the contract is made to cancel a service bought online, under the Consumer Contracts Regulations 2013. Because a translation is wanted quickly, at checkout you tick "I accept the terms and the cancellation policy." — that is your express request for us to begin work immediately and your acknowledgement that the right to cancel ends once the translation has been delivered.

To cancel, email hello@acceptedtranslations.com with your order reference. A plain sentence is enough — the model cancellation form at the end of this page is optional.

What you pay if you cancel

  • Not yet assigned to a translator — full refund, no deduction. We record a timestamp when an order is assigned, and that timestamp is the boundary.
  • In progress — you pay for the pages already translated and we refund the rest, calculated on the published page prices (£34.95 for the first page and £28.00 for each additional page).
  • Delivered — no cancellation refund. The acceptance guarantee applies instead.

Worked example: a 4-page order at £118.95 cancelled with 2 pages done — £62.95 chargeable, £56.00 refunded.

Add-ons and third-party fees

  • Add-ons are refunded in full if not yet provided — a posted copy not yet in the post, an extra copy not yet printed.
  • Notarisation and apostille fees are not refundable once submitted to a notary or the Legalisation Office. Our own service fee still is.

Refunds

Every situation in which money comes back to you, in one place.

  • You cancel before delivery — the ladder above applies: full refund before assignment, pro-rata while in progress, no cancellation refund once delivered.
  • The institution you named refuses the certification — we redo it free, and if the second attempt is refused on the same grounds you get every penny back, for 90 days from the date on your certificate.
  • We got something wrong — corrections are free and unlimited, separate from the guarantee and with no time limit. A change that would make the translation no longer match the original is declined, and that is not grounds for a refund.

To ask, email hello@acceptedtranslations.com with your order reference and, for a guarantee claim, the institution's decision in writing. There is no claim form. Refunds go back to the card you paid with, within 14 days of us accepting the claim and usually within a few working days.

The acceptance guarantee

If the institution you named at checkout refuses the translation over the certification itself, send us their decision in writing — a screenshot, a letter or a forwarded email — and we redo it free. If the second attempt is refused on the same grounds, you get a full refund. The guarantee runs for 90 days from the date on your certificate.

There is no published list of covered institutions: the guarantee is bounded by the institution you named at checkout. Separately and always, corrections are free and unlimited where we got something wrong. That is not part of the guarantee and has no time limit.

Liability

Our liability for any order is limited to the amount you paid for it, except where the law does not allow that limit — death or personal injury caused by negligence, or fraud. We are not liable for the outcome of your application, an institution's discretionary decision, or delays caused by postal services or third parties.

Nothing here affects your statutory rights under the Consumer Rights Act 2015.

Complaints and law

Email hello@acceptedtranslations.com and we will reply within one working day. These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.

Model cancellation form

Complete and return this form only if you wish to withdraw from the contract. An email saying the same thing is equally valid.
